Coordinator

Track outgoing loans, transfers, sales, donations and prepare all department related contracts and documents; ensuring that all props and costume loans, transfers, sales and donations are managed according to Physical Production Asset Management policies and procedures.

Coordinate with various internal (e.g., post, legal, creative, business affairs, clearances, music, etc) and external (e.g., production and post crew, producers) stakeholders during production and post regarding all aspects of screen credits.

Support the coordination and execution of above-the-line talent initiatives (writers, directors, on-screen and voiceover talent, etc.) from ideation to launch including but not limited to brainstorm and meeting notes, drafting applications, creating timelines and checklists for execution. Review scripts, cuts, marketing materials, casting breakdowns etc.

Manage scheduling and coordinate meetings. Create and maintain tracking grids. Review incoming submissions and provide creative notes.

Provide multi-level administrative support to the Head of Current Programming (preparing reports and documents, writer and director lists, arranging travel, managing schedule, rolling calls, tracking expenses, and other special assignments, etc.).

Maintain the Department’s Calendar, including scheduling and coordinating internal show meetings and other regular cross-functional meetings as needed. Oversee department leaders’ calendars (Burbank-focused, and partnered with SYD and VAN)  to ensure an efficient flow to the week/month in pursuit of the department’s objectives.

Coordinate and handle all travel arrangements, including international travel. Interact with senior level executives and their assistants. Will also interact with talent and external partners.

Interface directly with other senior executives and their support teams – your ability to work well with people on all levels is a very important part of your job. Track, organize, and manage all production and post materials on past and current shows.

Log samples and submissions in database. Take notes in meetings. Source and assess writers and directors to help build out and sustain a robust TV pipeline that aligns with department and overall company strategy and goals.

Source and assess screenplays, books, articles, life rights, concepts, verbal pitches. sizzles, and short form content – as well as other forms of intellectual property – in an effort to help build out and sustain a robust film/TV pipeline that aligns with department and overall company strategy and goals.

Responsibilities include supporting the assigned Production leads, managing document distribution & communication, coordinating schedules and calendars, and supporting internal workflows from pre production through delivery while working with external production companies.

Assesses material for potential development and production, including reading scripts and providing coverage, reviewing finished films, and hearing pitches. Manages division grids, talent tracking, weekend reads, and submission logs.

Create agendas & contact lists for key meetings with senior executives and outside producers, speaking when appropriate to inform attendees of updates, policies, and protocols. Draft and update Production documents which are distributed to all partners.

General administrative duties include but not limited to updating databases, creating, and maintaining organizational distribution lists, managing subscriptions, processing mail, copying, filing, etc. Process Development Payments for Options and Shows.
